Job Description

Support and assist construction manager in the administration of all construction projects.

RESPONSIBILITIES:

COMPANY

Present a professional image of E.D.S Air Conditioning & Plumbing

Demonstrate excellent communication skills

Maintain a positive rapport with customers, contractors, inspectors, vendors and co-workers

Support the total quality effort. Identify and respond to the needs of internal and external customers 100% of the time

Cultivate new customer relationships

Work within the guidelines of the safety and company policies

Understand the operations and paperwork flow

Willingness to accept special projects

Ensure that all divisional employees are abiding by the E.D.S Air Conditioning & Plumbing handbook policies and safety procedures

Understand and utilize the company software to keep accurate records

Prepare and provide all necessary insurance information to clients

Renew all licenses and provide license information to clients

ESTIMATING

Write proposals and letters

Conduct “walk through” of potential jobs in order to have a clear understanding of the project

Generate hard copy of all project bid package documentation for Estimator(s)

Generate and track pre-bid requests for information (RFI)

Respond to and track all invitation(s) to bid (ITB)

Respond to and track all request(s) for vendor quotation (RFQ)

Maintain and update bid calendar

PROJECT

Organize and maintain awarded project documentation within project folders; written and digitally

Input basic project information into Sage and Procore and QuickBooks

Prepare and submit all project notices (NOC’s)

Maintain records of all communications pertaining to jobs/projects

Establish permits and follow through with entire permitting process for all projects

Print active project list weekly

Assure that company is in compliance with all safety rules and regulations on each project

Prepare all project close-out documents

Prepare and provide all warranty information to clients

LABOR

Schedule manpower based on requests from Project Manager(s)

Write work orders, post jobs on display boards

Monitor, track, and file all daily activity logs and submit weekly time sheets

Maintain training calendar, subjects and documentation

File scanned copies of daily activate log(s) in the project folder

REQUIREMENTS:

Able to use telephone system, all office machines, computer skills to include all Microsoft software. Excellent communication skills. Must be customer service oriented.

EDUCATION AND EXPERIENCE:

High school graduate with general office skills. Entry level position. Six months’ construction/HVAC experience and knowledge preferred.

PHYSICAL REQUIREMENTS MAY INCLUDE ANY OR ALL OF THE FOLLOWING:

Bending, reaching, walking, stair climbing, lifting, computer and keyboarding tasks, filing, multi-use of office equipment (telephone, fax and copy machines, computer terminal/monitor) vision, hearing, speaking.
