Job Description

Job Summary

Reporting to the Director of Administration and Operations in the Department of Psychology and providing high-level support for the Department Chair, the Coordinator of Academic Affairs is responsible for overseeing all aspects of faculty searches/reviews, research appointments, visa sponsorship, and departmental events.

Position Description

  • Supports faculty reviews and searches by working closely with search and promotion committees to organize and attend meetings, draft/write correspondence, follow-up on action items, arrange travel for candidates, provide data collection, analysis, reporting, and final preparation of dossiers
  • Advises faculty on research appointment options for new hires, compiles dossiers, and processes research appointments
  • Reviews job ads, posts job openings, collects applications, and compiles applicant data
  • Coordinates visa sponsorship of foreign scholars, faculty, student interns, and other academic positions
  • Retains search files and personnel files in accordance with the General Records Schedule
  • Compiles data for the annual NIH/NSF report
  • Processes Harvard Sponsored Roles.
  • Onboards new faculty and researchers
  • Organizes faculty meetings, takes minutes, and provides high-level administrative support for the Department Chair
  • Organizes all aspects of departmental events (including faculty retreats, retirements, and farewells; annual student/faculty symposium; faculty recruitment visits; Visiting Committee meetings, etc.)
  • Performs other duties as required

Basic Qualifications

5 years administrative experience required.

Additional Qualifications and Skills

Bachelor's degree and 3-5 years of office administration and customer service experience preferred. Strong MS Office skills. Solid writing, editing, and proofreading skills. Excellent interpersonal skills and ability to communicate professionally with diverse constituency. Ability to handle complex and confidential information with discretion. Ability to work across teams and with a variety of projects. Excellent organizational skills with ability to prioritize work in an environment with multiple and conflicting interests. Ability to work independently with minimal supervision.

Additional Information

This position requires a minimum onsite presence of 3 days per week.
