Position Summary:
We are seeking a dynamic Marketing Project Coordinator to support the seamless execution of our marketing initiatives. In this role, you will coordinate project workflows, manage data and reporting, and facilitate global content sharing to align with our strategic objectives. Your organizational skills and attention to detail will be crucial in ensuring the success of our marketing projects.
Essential Functions:
- **Project Scheduling and Capacity Management:** Oversee the scheduling and capacity planning for the Marketing Project Management team, ensuring all projects are accurately updated in the dashboard.
- **Task Assignment and Initial Meetings:** Process and assign tasks from project intake forms, set up exploratory meetings, and gather relevant historical data to ensure a smooth project kickoff.
- **Documentation Management:** Organize project documentation by assigning ticket numbers and creating Google Drive folders for all working files, ensuring easy access and collaboration.
- **Marketing Plan Worksheets:** Develop and manage Marketing Plan Worksheets, process submissions, and create formal marketing documents for records.
- **Project Closure:** Oversee project closure, including collecting billable hours, generating reports for the finance team, and organizing feedback meetings to ensure continuous improvement.
- **Content Sharing and Storage:** Coordinate the storage of final output files and manage global content sharing, collaborating with the Rights and Permissions Coordinator to ensure compliance and efficiency.
- **File Transfer and Resource Management:** Maintain and update the Google Drive File Transfer folder with print files and other resources, ensuring all necessary materials are readily available.
- **Social Media Coordination:** Collaborate with the digital team to ensure social media fields are correctly uploaded for global distribution, maximizing our reach and impact.
- **Survey Coordination and Event Management:** Assist in survey coordination and manage orders for envelopes, ancillary products, and event displays. Work with executives to organize banquets, celebrations, and open houses as needed.
- **Technical Proficiency:** Experience with Google Drive File Transfer, Google Worksheets, Office 365 (Word, PowerPoint, Outlook, Excel, Teams).
Qualifications:
- **Education:** Bachelor's degree in marketing, communications, or project management (preferred, but not required).
- **Experience:** 1+ years of experience in project coordination, administrative assistance, or operations.
- **Project Management Skills:** Proven ability to manage multiple projects, prioritize tasks, and solve problems effectively.
- **Organizational and Communication Skills:** Strong organizational and communication skills, with the ability to negotiate as needed.
- **Meeting Coordination:** Capable of setting agendas, coordinating meetings, and maintaining project deadlines.
- **Workflow Management:** Able to prioritize, organize, and problem solve to balance the workflow in the development, production, and distribution of products and resources.
