Project Documentation Coordinator

VECRA, Inc. seeks a Project Documentation Coordinator to support the project team in organizing, reviewing, and compiling necessary documentation for payment from energy customers. The role involves creating and maintaining project documentation, ensuring compliance, and collaborating with cross-functional teams to ensure accurate and timely billing and documentation.

Job Description

The Project Documentation Coordinator will be responsible for creating and maintaining project documentation, including memos, lien waivers, and other project-related documents. The role requires reviewing and confirming compliance on documentation from general contractors and service providers, organizing project files, and collaborating with project teams to gather necessary documentation for project deliverables. The coordinator will also assist in preparing reports, presentations, and other documentation as needed.

ROLES and RESPONSIBILITIES

· Create and maintain project documentation, including memos, lien waivers, and other project-related documents.

· Review and confirm compliance on project documentation from general contractors and service providers.

· Organize and maintain project files and records, ensuring they are easily accessible and up-to-date.

· Collaborate with project teams to gather and compile necessary documentation for project deliverables and milestones.

· Assist in the preparation of project reports, presentations, and other documentation as required.

· Collaborate with cross-functional teams, such as project managers and finance, to ensure accurate and timely billing and documentation.

QUALIFICATIONS and REQUIRED SKILLS:

· Previous experience in billing, documentation administration, or project administration.

· Familiarity with project management principles and software tools like SAP, Excel, Primavera, and Procore.

· Certified Associate in Project Management (CAPM) from the Project Management Institute (PMI) or equivalent.

EDUCATION

· An associate's or bachelor's degree in a relevant field such as business administration, finance, accounting, or project management.

OTHER

· Duration: 12 Months

· Salary: Determined based on experience and education

· Location: Hybrid, with a minimum of 2 days on-site in White Plains, New York, and remote work for the remaining days.
