The Student Services Coordinator plays a key role in supporting students throughout their journey with our programs. Acting as both an on-site and remote liaison, you will ensure seamless communication between students, staff, and the community. You'll help maintain student records, manage enrollment, and support program activities to ensure that students achieve their educational and career goals. Key Responsibilities:
Recruitment & Orientation: Assist in recruiting new students and conducting orientations to ensure they understand the programs and services available.
Assessments & Testing: Prepare and administer required assessments (CASAS), ensuring timely delivery and proper documentation of test results.
Administrative Support: Maintain accurate student records and documentation, ensuring all required paperwork is submitted to the administrative offices on time.
Student Support: Provide both in-person and remote support to students, assisting with any inquiries or issues they may have.
Customer Service: Greet visitors and answer incoming calls in a friendly and professional manner, providing exceptional customer service at all times.
Technical Assistance: Help students with basic technical issues to ensure they can fully engage with the programs.
Program Outreach: Promote and represent the various educational programs within the community, helping to raise awareness and attract new participants.
Data Tracking & Reporting: Monitor and track student recruitment, retention, and attendance. Submit regular reports to the supervisor on program activities and progress.
File Management: Organize and maintain both physical and electronic student files in a central, accessible system.
Community Engagement: Foster productive relationships with community organizations and local partners to enhance program outreach and impact.
Material & Supply Management: Coordinate the purchase and distribution of program materials and supplies.
Site Maintenance: Collaborate with other team members to ensure the site is clean, organized, and compliant with relevant health regulations, such as those for the National School Lunch Program (NSLP).
Collaborative Efforts: Work closely with instructors to ensure students have a positive learning experience and access to the resources they need.
Clerical Support: Handle general office duties, such as filing, office maintenance, and upkeep, to keep operations running smoothly.
Inventory Management: Track and manage the distribution of technological devices to students, ensuring proper usage and return.
Timely Submission of Requests: Ensure all student enrollment, registration, and transcript documentation is submitted to the appropriate departments promptly.
Qualifications:
Communication Skills: Strong verbal and written communication skills to effectively interact with students, staff, and the community.
Interpersonal Skills: Excellent interpersonal and customer service skills, with the ability to handle sensitive situations with professionalism and tact.
Organizational Skills: Exceptional attention to detail and ability to manage multiple tasks and deadlines effectively.
Time Management: Proven ability to work in a fast-paced environment and meet deadlines.
Tech-Savvy: Proficiency in Microsoft Office and Google Suite to manage administrative tasks efficiently.
Confidentiality: Ability to handle confidential information with discretion and professionalism.
Education and Experience:
Minimum: High school diploma or GED required.
Preferred: Associate's degree or some college coursework completed.
Experience: At least two years of related experience in a student support or administrative role.
Travel Requirements:
Must have a valid driver's license and personal automobile insurance.
Occasional travel (up to 25%) may be required.
Language Skills:
Bilingual in Spanish is required to communicate effectively with a diverse student population.
Physical Demands:
Ability to perform tasks that may involve lifting up to 40 pounds, standing, sitting, and frequent use of hands for typing or handling materials.
The role may require occasional bending, stooping, or walking.
Prolonged periods of sitting and working on a computer are required.
Work Environment:
