POSITION: Title Clerk
REPORTS TO: Controller
POSITION SUMMARY
The title clerk is part of the Company’s Accounting and Finance team. They will work closely with our sales and accounting team and external partners to process vehicle titles promptly and error-free.
ESSENTIAL DUTIES:
- Realize that during any interaction with customers, the employee should remember the HERO (Helpful, Exceeds expectations, Represents us well, takes Ownership) program. The customer is the highest priority of any employee of Wilson County Motors.
- Process all new and used vehicles for registration in the state they will be titled.
- Prepare tax and title documents.
- Submit all legal transfer work to the Department of Motor Vehicles.
- Verifies that funds have been collected and the correct lien-holder paid off before processing title applications.
- Checks for accuracy in the applications and ensure that all information is complete.
- Maintains a system to verify out-of-state titles.
- Compiles and maintains a complete list of all outstanding title work. Reports to management on the status of any missing or problem titles and provides a current list of pending titles to the comptroller at the end of the month.
- Stays abreast of title regulations.
- Cross-trains others to handle title clerk daily responsibilities.
- Prepare paperwork and title work for wholesales.
- Prepare checks for Tennessee clerks for title work and out-of-state tax and titles.
- Run monthly accounts receivable statements and mail.
- Reconciles statements and follows up collections as necessary.
- Answers account receivable phone calls and follow up on inquiries.
- Updates customers’ account information
- Clean receivable schedule.
- Ensures proper follow-up on tags and titles.
- Other duties as assigned.
REQUIRED QUALIFICATIONS
- High school diploma, GED, or similar
- Six months of experience performing the same or similar job functions
- Ability to perform basic mathematical calculations, including percentages
- Able to work an 8-hour shift Monday through Friday
PREFERRED QUALIFICATIONS
- Bachelors or Associate degree from an accredited education facility
- Work experience as a Title Clerk at an automotive dealership
- Bilingual speaking (Spanish/English)
ABILITIES NEEDED TO PERFORM DUTIES:
- Ability to arrive at work on time.
- Knowledge of title work.
- Ability to manage multiple tasks at once
- Be highly organized at work
- Ability to speak on the telephone for extended periods.
- Mathematics proficiency.
- Computer proficiency.
WORKING CONDITIONS:
The employee will be sitting behind a desk and working on a computer for extended periods. Ablity to lift 20 LBS.
